Features

Position Control
  • Tracking of available positions, positions description, postings, and incumbents
  • All positions within a company would be tracked in this module
  • These positions would haves specific descriptions, shifts, and requirements
  • A job posting will be tied to a position in the tracking module.
  • When creating the on-line posting the department, description, shift, and requirement information will be based on the record in position control.
  • Additional information can be added to the posting
  • Tracking of current and past incumbents
  • Reason codes to track resignations/terminations
  • Multiple current incumbents to support position overlap during transition
  • When a posting is created for a position that is currently filled the current record will move to transitional state with a termination date. When the position is filled from the applicant tracking, changing the candidates record to hired status will move them into the current incumbent for the position in position tracking.
  • Posting for position can require the completion of an application, submission of a resume or both.

Applicant Tracking
  • Track applicant from application to posting through to hire/rejection.
  • Applicant profile – allow web user to create a profile with multiple resumes. This applies to internal and external candidates
  • Use profile to prevent a user from applying to the same position more than once in a specified period of time.
  • Use profile for the user to view the positions they applied for and status of the position.
  • Use profile to identify key items and if the applicant matches those item. (example: Certifications, education, skills, location, salary requirements)
  • Apply cap to the number of positions one user profile can apply to.
  • Advanced search – search profile and full text search of resume for keywords Add stages to the tracking module

    • Send to other contacts/login accounts within the organization (within application)
      • Allow selection of what they can see, profile, resume, and comments
      • Will display in inCareer Task list based on user login
      • Will add comment in indicating who received information
      • Generate letters – choose version to send
        • Rejection letters
        • Pre and post interview letters
        • Offer letters
      • Add hired indicator
        • Will end posting on web site
        • Will add record to the position tracking module
        • Will indicate position filled on applicant profile if applied to position
    • Internal applicants need special indicator and also need to be directed to contact person who handles internal applicants as well as the person who is the contact for the position
    • Track expenses for each posting.
    Applicant Tracking
    • Ability to maintain multiple letter versions for selection in the applicant tracking module ·
    • Letters will contain items that will merge from client record and positions
    • Letters can be of any type can be created and used in conjunction with actions in the applicant tracking module – rejection, interview, offer
    Reporting
    • Report all postings made for a position including length of time, expenses, incumbent, internal/external candidate, and reason for leaving. ·
    • Summary report of above based on time period of entered dates – result would show positions with activity during the entered dates.
    • Vacancy report – from position control – report of positions where current incumbent has given notice, been terminated, or the position had a shift change. Report includes type (res, term, cis) position, reason, incumbent, and days until new posting created.
      Custom Reporting
      • Segmenting positions into classes: Nursing, Service/Other, Clerical, Professional-Non-nursing, then calculating percentage of approved positions according to classes for current and past week.
      • Bar Chart of approved positions on each shift (days, evenings, nights) segmented by the classes of Nursing, Service/Other, Clerical, Professional-Non-nursing
